02 · The company

Retention email is the whole business.

Mail Waves runs Klaviyo-based retention and direct-response email for subscription ecommerce brands, and nothing else.

More about Mail Waves

Clients stay for years, and the agency has grown on word of mouth alone.

The work runs in pods. A copywriter writes, a designer builds, a Klaviyo specialist loads and triggers, and a client success manager owns the account.

03 · On set

This is what leaves the building.

Real sends for Mail Waves clients. A writer, a designer and a specialist made each one. The date it went out, and the fact it went out right, came from the project manager.

04 · The part

Nobody in the chain waits on anybody.

You hold the delivery calendar all four disciplines work to, and you are the last pair of eyes before anything reaches a client.

More on the part

You brief, sequence, chase and check. Strategy, the commercial relationship and the revenue number sit with the client success manager. Building the emails sits with the pod.

The book is heading for twenty-five accounts, and this seat is what makes that possible. The job grows underneath you rather than arriving finished.

The first ninety daysNothing late. Nothing wrong. Nothing waiting on you.
  1. First 30 days

    Learn the book.

Onboarded onto ClickUp, the SOPs and the pods. Running the calendar for a first group of accounts, and introduced to those clients as their day-to-day contact.

  2. By day 90

    Hold the whole calendar.

The full book sequenced and on schedule. No errors reaching clients that you could have caught. Capacity conflicts flagged before they become misses.

  3. Ongoing

    Make the system better.

Bottlenecks named and removed. SOPs improved by the person running them. The agency able to take on accounts it could not take on before.

05 · What the seat offers

Real authority, and a system worth inheriting.

  1. You run the systemClickUp here is well organised, and it is yours to own and improve.
  2. The last word on qualityNothing reaches a client without passing you. It is the part of this job Mail Waves cares about most.
  3. Daily client contactYou are the operational voice clients hear, without carrying the revenue number.
  4. A flat line to the founderA small team and a founder close to the detail. No committee between you and a yes.
  5. Accountability, not monitoringReliability is the currency. The reward is more responsibility, and two people on this team have already collected it.
  6. Your day is yoursFully remote. You set your hours around the overlap and the Monday call.
06 · Cue sheet

What gets you a reply.

Four gates, none of them negotiable. The fourth is the one that rules out generic project managers.

  1. Gate 01

    Agency delivery

Two or more years running delivery inside an agency, with several client accounts live at once. Not in-house only, not freelance only.

  2. Gate 02

    You owned the tool

The person responsible for the project tool, not a user inside it. ClickUp for preference. Asana or Monday is fine.

  3. Gate 03

    A daily US Eastern overlap

Reliable, every day, from wherever you live.

  4. Gate 04

    Email marketing context

Email, retention or ecommerce marketing. Open, click and conversion rates, deliverability, revenue per recipient and lifetime value are numbers you have had to care about.

Nice to have: ClickUp automations and dashboards, some Klaviyo, subscription ecommerce, delivery across several time zones, Slack as your main working surface, writing SOPs, and using AI well without handing over your judgement.

PS, Shannon

Don’t tell us you’re passionate. Tell us what you did, what broke and what you’d do differently. That’s the application a founder remembers, and it’s the one I’ll pick up the phone for.
